In this article, you'll find answers to commonly asked questions by ADP RUN HR Pro subscribers using CareerPlug as part of their recruiting.

Note: CareerPlug can only provide support for questions related to our software. You should contact ADP for questions about billing or your subscription.

Account access and setup

Q: What is CareerPlug, and why do I have an account?

A: CareerPlug is recruiting software that helps you attract, communicate with, evaluate, and retain the best team members to grow your business, while automating as much of the hiring process as possible.

A CareerPlug Pro subscription is included as part of your ADP RUN HR Pro bundle. If you'd like to take advantage of more automations, you can upgrade to CareerPlug Premium.

Q: How do I log into CareerPlug?

A: You can log into CareerPlug from your ADP RUN HR Pro account via our Single Sign-On (SSO) integration. Alternatively, you can log into CareerPlug from our sign-in page. You must create a password (using the Forgot your password? link) the first time you log into CareerPlug directly.

Q: Why can’t I log into CareerPlug via the ADP RUN SSO integration?

A: SSO login issues are often related to how your ADP account is set up. New ADP RUN HR Pro subscribers might need to wait 48 - 72 hours before they can access their CareerPlug account. New ADP RUN HR Pro subscribers also must run payroll at least once. Please contact ADP Support for additional assistance troubleshooting login- and SSO-related issues.

Q: Why do I need to log into CareerPlug to view notifications?

A: You cannot view notifications or access information from your CareerPlug account without logging in. You'll need to create a password (using the Forgot your password? link) the first time you log into CareerPlug directly.

Q: Will changing my email address in ADP or CareerPlug disrupt SSO access?

A: Yes. Your email address in CareerPlug and ADP must match to enable the ADP RUN SSO integration. You can update your name and other CareerPlug account details without breaking the SSO connection — but not your email address.

Q: Why is another user/employee designated as the account owner?

A: The first user to log into a CareerPlug account via SSO will automatically be set as the account owner. You can transfer account ownership yourself or contact ADP to review SSO permissions.

Q: How do I transfer account ownership?

A: If you're an account owner, you can transfer your account to another Admin user in CareerPlug. If you cannot transfer ownership, please contact ADP via email (and copy CareerPlug Support) to verify the account owner.

Q: Why do I have duplicate CareerPlug accounts?

A: If you cancel (or downgrade) and later re-subscribe to ADP RUN HR Pro, logging into CareerPlug again via the ADP RUN SSO integration may create a duplicate CareerPlug account. We cannot merge duplicate accounts, but we may be able to help preserve your original data. Please contact our Hiring Experts for more support.

Q: How do I update my company/account name in CareerPlug?

A: The first user to log into a CareerPlug account via SSO must set the Account Name. It's very important that your Account Name in CareerPlug reflects the company name you want associated with your job postings on job boards to avoid negatively impacting job visibility. You can update your company name in CareerPlug by navigating to Settings > My Organization > Company Profile.

Q: How did my careers page get created?

A: The first time you log into CareerPlug from ADP via SSO, your CareerPlug account will be created. You'll be asked to fill in a few fields related to your company information, which we'll use to build your complimentary careers page. You can further customize your careers page after it's been created.

Q: How many jobs, locations, and users can I add to CareerPlug?

A: As a subscriber of the ADP RUN HR Pro bundle, you can add unlimited job postings, locations, and team members to your CareerPlug account.

Jobs, job boards, and job visibility

Q: Can I transfer my old ZipRecruiter jobs to CareerPlug?

A: Yes — but only if your ADP RUN HR Pro subscription started before December 1, 2023. You cannot transfer ZipRecruiter jobs to CareerPlug if you subscribed (or upgraded) to ADP RUN HR Pro on or after that date. Please contact ADP with any questions or concerns about your HR Pro subscription.

Q: When will my job be live on the job boards?

A: Please allow 24 business hours after posting for your job to appear on partner job boards like Indeed and ZipRecruiter. We recommend that you don't search for your job on job boards. Instead, you can monitor applicant activity for your job using the clicks/applicant chart.

Q: What kind of job board visibility is included with CareerPlug?

A: Jobs posted through CareerPlug have organic visibility on partner job boards for up to 90 days. After 90 days, we recommend engaging with Smart Suggestions to regain visibility. Book an appointment with one of CareerPlug's Client Success Consultants for additional guidance on job visibility.

Q: What are Smart Suggestions?

A: Smart Suggestions offer tips to help you optimize and improve your job postings, providing relevant recommendations tailored to the 90-day lifecycle of your job. As your job posting ages or you change it, we'll update our Smart Suggestions to help you stimulate applicant interest.

Q: What job sponsorship options are included with ADP RUN HR Pro?

A: As a subscriber of the ADP RUN HR Pro bundle, your CareerPlug account includes two reusable ZipRecruiter Job Sponsorships. The first two jobs you post in CareerPlug will automatically be sponsored on ZipRecruiter. If you have more than two active jobs, you can easily switch your ZipRecruiter Job Sponsorships to whichever jobs are your highest priority.

You can also pay to sponsor additional jobs on ZipRecruiter or Indeed from your CareerPlug account.

Q: What if I get an email that my jobs have lost visibility on job boards?

A: If CareerPlug identifies your company as a multi-level marketing (MLM), staffing, consulting, or recruiting agency, we will stop sending your jobs to job boards. As a job board partner, CareerPlug (and jobs posted through CareerPlug) must comply with all job posting guidelines. Please see the notification email for more information on the state of your account and what steps to take next.

Q: I canceled my ADP RUN HR Pro subscription and lost job board visibility — how do I restore my CareerPlug account and job visibility?

A: If you cancel or downgrade your ADP RUN HR Pro subscription, your CareerPlug account will be downgraded to a Basic plan. A CareerPlug Basic account limits the reach of your job postings — including visibility on job boards — and loses the ability to log in via the ADP RUN SSO integration. Please book a meeting with our ADP Account Manager to upgrade your Basic account and regain job board visibility.

Finding and communicating with applicants

Q: How do I access the ZipRecruiter Resume Database?

A: You can access ZipRecruiter's Resume Database from your ADP RUN account. From the ADP RUN Home page, click the Post a Job button (or navigate to HR > Hire and onboard > Post a job), then click the resume database link. Please contact ADP or ZipRecruiter with any questions regarding this feature.

Q: Can I block communication from a specific applicant?

A: Yes. In extreme cases (e.g., harassment), CareerPlug can block an applicant's ongoing text (SMS) and email communication. We can also export communication records to assist with legal documentation.

Background checks and onboarding

Q: How do I complete a background check?

A:  When you reach the Background hiring step in CareerPlug, you’ll be redirected to ADP RUN to complete it. With ADP RUN HR Pro, you get 25 free background checks per year.

Q: Does my CareerPlug account include onboarding?

A: CareerPlug's onboarding features are not included with your ADP RUN HR Pro bundle. Please contact ADP with any questions regarding the features included with your subscription.

Q: Can I use Work Opportunity Tax Credit (WOTC) forms in CareerPlug?

A: WOTC forms are only available for CareerPlug accounts with onboarding features enabled.

Billing and subscription management

Q: How do I cancel my CareerPlug subscription?

A: CareerPlug is included with your ADP RUN HR Pro bundle. To change your ADP RUN subscription, contact ADP Client Services at 1-877-844-6003. CareerPlug cannot access your ADP billing information or process cancelations.

Q: What happens if I cancel my ADP RUN HR Pro subscription?

A: If you cancel or downgrade your ADP RUN HR Pro subscription, your CareerPlug account will be downgraded to a Basic plan. To access your CareerPlug Basic account, log in directly via our sign-in page.

To retain your account data, you must submit the opt-in form — sent to you via email after canceling or downgrading — within 30 days. To continue using Pro (or Premium) features, you must upgrade your plan in CareerPlug. Please book a meeting with our ADP Account Manager to restore your account.

Q: What is CareerPlug Premium and how does it work?

A: CareerPlug Premium is a game-changing solution that automates and streamlines the interview scheduling process. If you upgrade to Premium, the additional cost will be billed directly through CareerPlug. Book time with our ADP Account Manager to discuss whether CareerPlug Premium is right for your business.

Q: What billing questions can CareerPlug answer?

A: CareerPlug can answer billing questions related to:

  • Upgrading CareerPlug from Pro to Premium
  • Sponsoring jobs on ZipRecruiter from CareerPlug
  • Pricing information for users considering the standalone (i.e., non-ADP) version of CareerPlug

CareerPlug cannot assist with any ADP subscription or Indeed billing questions.

Q: What if I have other questions about my ADP RUN HR Pro subscription or ADP services?
